Then they could go shopping to their hearts content and unfortunately, this is just what a few folks have done. 2. If your processors can change vendor information in the master vendor file, they are in a position to change critical information. A few have used this weakness to divert payments from legitimate vendors to themselves. 3. If you don't deactivate vendors, inactive vendors can be used to hide transactions that have no legitimacy. Dear Kathleen

Let's see how good a job your organization is doing protect= ing itself against fraud? Answer the following to get a handle on the stren= gth of your fraud protection fortress.

The Test
  1. Do you notify your bank when a cardholder leaves the com= pany?
  2. Do you prohibit your processors from changi= ng information in the master vendor file?
  3. Do you = routinely (at least once a year) deactivate any vendor you have not done bu= siness with in the last year?
The Correct Responses and Why

Did you answer Yes to each of the questions? Let's t= ake a look at why each is important.
  1. If you don't notify the bank and only get the card back,= a crafty former employee could simply write down the credit card number, e= xpiration date and the three or four digit cvc code. Then they could go sho= pping to their hearts content and unfortunately, this is just what a few fo= lks have done.
  2. If your processors can change vend= or information in the master vendor file, they are in a position to change = critical information. A few have used this weakness to divert payments from= legitimate vendors to themselves.
  3. If you don't = deactivate vendors, inactive vendors can be used to hide transactions that = have no legitimacy.

Tips on Getting Paid Faster

A friend recently asked me if I had any tips on getting pai= d faster. He was having trouble getting some of his vendors to pay him in a= timely manner. I had just one piece of advice for him: A good accurate inv= oice sent to the right place stands the best chance of being paid on time.<= /span>

He was underwhelmed to say the least. "That's it?" he asked= incredulously. "Maybe your readers have some additional insights," he offe= red. He really meant, maybe they have some better advice. So, I agree to as= k. We'll share the list of all suggestions with everyone who writes and exp= lains what a vendor can do to ensure prompt payment.
