Everyone thinks it couldn't happen at their company - until it does. Most understand that the new and exploding electronic payment frauds are a big problem but somehow there is a disconnect when it comes to taking action to protect their own organization. To be perfectly honest, I fell into that category. Luckily, we discovered the fraud before we sent the money; but I didn't recognize the fraudulent transaction when the email first appeared. Tip: The first step is recognizing that your organization is just as likely to be targeted as the next. The second step is to take action making sure you are using the latest best practice fraud prevention routines. Reader Question: I am having a challenge with Non Inventory purchasing at my work. The business dynamics are that upper management wants all departments to run like their own business - hence purchasing is done within their own departments. But not one department has the same process and we end up with a headache in AP since we are at the end of the "train". No one owns the process itself. I am in the middle of a Six Sigma project on the Non Inventory Purchasing process. I am looking for guidance/recommendations that you could possibly give me. Partial Solution: My only piece of advice is to create a set of guidelines for the units and hope you can get management backing to insist they be used. This will definitely be an uphill battle, especially since each of the units is likely to have their own ideas about what's important and what's not, often not understanding the internal control issues. We have an intere= sting reader question this time, but before we get to it, I want to talk ju= st a little about a growing problem.

Everyone th= inks it couldn't happen at their company - until it does. Most understand t= hat the new and exploding electronic payment frauds are a big problem but s= omehow there is a disconnect when it comes to taking action to protect thei= r own organization. To be perfectly honest, I fell into that category. Luck= ily, we discovered the fraud before we sent the money; but I didn't recogni= ze the fraudulent transaction when the email first appeared.

Tip: The first step is recognizing that your or= ganization is just as likely to be targeted as the next. The second step is= to take action making sure you are using the latest best practice fraud pr= evention routines. Don't forget to make sure your internal controls are str= ong and appropriate across the entire procure-to-pay chain - no exceptions.=

Reader Question: I am having a challenge with N= on Inventory purchasing at my work. The business dynamics are that upper ma= nagement wants all departments to run like their own business - hence purch= asing is done within their own departments. But not one department has the = same process and we end up with a headache in AP since we are at the end of= the "train". No one owns the process itself. I am in the middle of a Six S= igma project on the Non Inventory Purchasing process. I am looking for guid= ance/recommendations that you could possibly give me.

Partial Solution: My only piece of advice is to= create a set of guidelines for the units and hope you can get management b= acking to insist they be used. This will definitely be an uphill battle, es= pecially since each of the units is likely to have their own ideas about wh= at's important and what's not, often not understanding the internal control= issues. If you mention fraud and increased costs as your primary concerns = you might get management's attention.
