Let's look at a few and how to handle them. Issue #1- Do you get any credit cards back from the employee AND cancel the card at the bank. If you don't do the latter you could be in for a rude surprise if the employee wrote down the credit card number, expiration date and three or four digit CCV code. Issue #2- Do you immediately notify the bank and remove the person as authorized signer or approver or initiator for checks, ACH, and wire transfers? Issue #3- Do you include employees in your master vendor file for purposes of reimbursing them for travel and entertainment expenses? If so, there's nothing wrong with this practice, as long as you take care not to leave them there when the employee leaves the company. That's where many fall down. HR does not notify them of terminations and hence the former employee stays in the master vendor file. If you can't get HR to notify you on a regular basis, perhaps you could get a listing once a month of employees who left. That list could be matched against the master vendor files. Anyone on the list, who is still in the master vendor file, should have his or her account in the master vendor file deactivated. Handling Problems that Can Arise When an Employee Leaves=

When an employee = leaves the organization (whether the separation is voluntary or the employe= e was invited to leave by the company), there are certain AP issues that ar= e often ignored. Let's look at a few and how to handle them.
=
Issue #1- Do you get any credit cards back from= the employee AND cancel the card at the bank. If you don't do the latter y= ou could be in for a rude surprise if the employee wrote down the credit ca= rd number, expiration date and three or four digit CCV code.
=
Issue #2- Do you immediately notify the bank an= d remove the person as authorized signer or approver or initiator for check= s, ACH, and wire transfers?
=
Issue #3- Do you include employees in your mast= er vendor file for purposes of reimbursing them for travel and entertainmen= t expenses? If so, there's nothing wrong with this practice, as long as you= take care not to leave them there when the employee leaves the company. Th= at's where many fall down. HR does not notify them of terminations and henc= e the former employee stays in the master vendor file. If you can't get HR = to notify you on a regular basis, perhaps you could get a listing once a mo= nth of employees who left. That list could be matched against the master ve= ndor files. Anyone on the list, who is still in the master vendor file, sho= uld have his or her account in the master vendor file deactivated. <= /div>
