The Tip Instead of the processors copying and pasting the wording, steps which in themselves can be time consuming and lead to errors, another option is to set up the standard wording under the Signature Tab in Outlook. Then, instead of spending the additional time to copy and paste, they would just click on the Signature option in the ribbon and select the appropriate "signature". These can then be modified to add or delete information where necessary. Because I work with so many foreign suppliers, often the way we normally write is cumbersome for them to translate. Instead, I have set up a number of short, standard notices and replies under the Signature tab and just modify these where needed. My assistant and I use the same Signature procedure to electronically send managers invoices requiring their review and approval. They appreciate not having to wade through a long lengthy e-mail, and we do not have to retype the same phrasing over and over throughout the day. The Idea One of the things that I really like about our audience is, like Doris, they are quite innovative and often find ways to solve everyday problems using the tools at hand. As you may recall= , last week we shared a tip about using standard letters in AP. Afterwards = I received a note from a reader that made me realize our readers have a lot= of great ways to use the Office suite - Outlook, Word, Excel, Access and e= ven PowerPoint and Publisher. Her note got me thinking. Before we get to my= musing and Primex Inc's Doris Collins' great tip, we've got a new report f= or our readers.

The Tip Instead of the processors = copying and pasting the wording, steps which in themselves can be time cons= uming and lead to errors, another option is to set up the standard wording = under the Signature Tab in Outlook.  Then, instead of spending the add= itional time to copy and paste, they would just click on the Signature opti= on in the ribbon and select the appropriate "signature".  These can th= en be modified to add or delete information where necessary.

Because I w= ork with so many foreign suppliers, often the way we normally write is cumb= ersome for them to translate.  Instead, I have set up a number of shor= t, standard notices and replies under the Signature tab and just modify the= se where needed.

My assistan= t and I use the same Signature procedure to electronically send managers in= voices requiring their review and approval. They appreciate not having= to wade through a long lengthy e-mail, and we do not have to retype the sa= me phrasing over and over throughout the day.
