However, from time to time it happens. Recently, one of our processors noticed that one of our assistant managers seemed to have an invoice payment on every expense report. She had mentioned it to him several times but he persisted. Since these payments were under $1,000 no one thought much about it. The processor decided that if she had the vendor set up in the master vendor file, we could put an end to that practice. She filled out the vendor add form, based on the information on one of the invoices attached to an expense report, and sent it to his manager for approval for setup. The manager, who as it turns out was simply signing expense reports without looking at them, got upset when he looked at the form. He thought something was fishy so he called HR to confirm. The address on the invoice was the same as the employees address. The business was run by his wife. Best Practices Lessons Learned: If best practices had been followed this fraud would never have started or gone on as long as it did. If the following best practices had been employed, the problem would never had a chance to get started. * 1 - If the manager had reviewed all expense reports before approving them, the employee probably would have realized he couldn't slide this fraud through. * 2- If the company had adhered to a policy of never paying invoices on an expense report, the first payment would have been bounced back and that would have been the end of it. * 3- Even if the employee had tried to push through the phony invoice, if the staff had been checking new vendor addresses against the HR file of employees' addresses, they would have nipped this fraud in the bud. Dear Kathleen

We have a policy = of forbidding the use of our T&E card for invoices, wrote one manager in a = recent email. However, from time to time it happens. Recently, one of our p= rocessors noticed that one of our assistant managers seemed to have an invo= ice payment on every expense report. She had mentioned it to him several ti= mes but he persisted. Since these payments were under $1,000 no one thought= much about it.

The processor decided that = if she had the vendor set up in the master vendor file, we could put an end= to that practice. She filled out the vendor add form, based on the informa= tion on one of the invoices attached to an expense report, and sent it to h= is manager for approval for setup.

The man= ager, who as it turns out was simply signing expense reports without lookin= g at them, got upset when he looked at the form. He thought something was f= ishy so he called HR to confirm. The address on the invoice was the same as= the employees address. The business was run by his wife.

Best Practices Lessons Learned: If bes= t practices had been followed this fraud would never have started or gone o= n as long as it did. If the following best practices had been employed, the= problem would never had a chance to get started.
  • 1 - If the manager had reviewed all expense reports before approving th= em, the employee probably would have realized he couldn't slide this fraud = through.
  • 2- If the company had adhered to a policy = of never paying invoices on an expense report, the first payment would have= been bounced back and that would have been the end of it.
  • 3- Even if the employee had tried to push through the phony invoice= , if the staff had been checking new vendor addresses against the HR file o= f employees' addresses, they would have nipped this fraud in the bud.
